How to Manage Business Contacts & CRM in SparkyMinis
Business Contacts & CRM
Navigate to: Dashboard > Business > Contacts (/dashboard/business/contacts)
Your Contact list is the foundation of your business operations. Every invoice, project, and expense you create flows back to a person or company here. SparkyMinis approaches contacts with a "CRM-Lite" philosophy — powerful relationship tracking without the bloat of enterprise tools.
Understanding Contact Types
Contacts are organised into four categories. The category badge is colour-coded for instant scan:
| Type | Colour | When to use |
|---|---|---|
| Client | Blue | People you work for and invoice. Revenue source. |
| Vendor | Orange | Suppliers, contractors, and services you pay. |
| Team | Green | Internal staff, partners, or employees. |
| Lead | Gray | Potential opportunities not yet formalised. |
Tip: A single person can evolve — start them as a Lead, then change the type to Client once the contract is signed.
Creating a Contact
- Click + Add Contact from the Contacts list page.
- Step 1 — The Basics: Fill in Name, Email, Phone, and Company. These fields power the search when creating invoices and projects.
- Step 2 — Business Details (after clicking "Save & Continue"):
- Suite: Assign to Business or Lifestyle. Business contacts appear in invoice dropdowns; Lifestyle contacts (friends/family) appear in personal views.
- Default Currency: Sets the invoice default for this contact (e.g., if your client pays in USD, set it here).
- Tax ID / GST Number: Stored for use on printed invoices and tax reports.
- Payment Terms: Net 0, Net 15, Net 30, or custom. Shown on generated PDFs.
Editing a Contact
- Click on any contact card from the list.
- On the detail page, click the Edit (pencil) icon.
- All fields — including Suite, Currency, and Tax IDs — can be updated at any time.
- Click Save to confirm changes.
Interaction Log
Every client conversation matters. The Interactions tab is a chronological log of key touchpoints.
Adding an interaction:
- Open a contact's detail page.
- Go to the Interactions tab.
- Click + Log Interaction.
- Select type: Call, Email, Meeting, Note, or Follow-up Needed.
- Add a date, a brief summary, and any context notes.
Why it matters: Before sending an invoice or starting a proposal, reviewing the interaction log gives you context — who said what, and when.
Tasks
Tasks linked to a contact keep you accountable for follow-ups.
- On a contact's detail page, go to the Tasks tab.
- Click + Add Task.
- Set a title, due date, and priority.
- Mark complete by clicking the checkbox.
Tasks appear on your main Dashboard overview if they have a due date approaching.
Files
Attach important documents directly to a contact — signed contracts, NDAs, onboarding forms, or business cards.
- Go to the Files tab on the contact detail page.
- Click Upload File or drag and drop.
- Files are stored in your Secure Vault and linked to this contact.
- You can view, download, or delete files at any time.
Quick Actions from the Contact List
Without opening a contact, you can:
- 📞 Call — Launches your device's phone dialer.
- ✉️ Email — Opens your default email client.
- 🗑️ Delete — Permanently removes the contact and linked records (with confirmation).
Deleting a Contact
- Open the contact's detail page.
- Scroll to the bottom and click Delete Contact.
- Confirm the prompt. This action is irreversible.
Warning: Deleting a contact does not delete the invoices or expenses linked to them. Those records are preserved for financial accuracy.
Search & Filter
- Use the Search bar at the top of the Contacts list to find by name, email, or company.
- Use the Type filter (All / Client / Vendor / Team / Lead) to narrow the view.
- The list defaults to alphabetical order by first name.
