Manage Business Projects and Client Work with SparkyMinis Projects

Projects – Full Lifecycle Management

Navigate to: Dashboard > Business > Projects (/dashboard/business/projects)

A Project is more than a task list. It is a container that unifies your work across tasks, milestones, time tracking, expenses, and files — giving you a single source of truth for any piece of client work.


Creating a Project

  1. Click + New Project from the Projects list.
  2. Fill in:

- Title — A clear, descriptive name.

- Client — Select from your Contacts list (Clients only). The client's currency becomes the project's default.

- Status — Start with Draft or Active.

- Priority — Low / Medium / High / Critical.

- Start & End Dates — Used for timeline calculations and Dashboard overview.

- Value — The total contract or estimated revenue for this project.

- Description — Context, scope, or notes for your own reference.

  1. Click Save. You are now on the Project detail page.

Project Statuses

StatusMeaning
DraftEarly stage, not active or billable yet.
ActiveCurrently in progress. Shows on Dashboard.
On HoldPaused due to client delay or dependency.
CompletedDelivered and archived. Revenue is realised.
CancelledTerminated. Excluded from revenue calculations.

Tasks Tab

Tasks are the granular, actionable units of your project. Each task has:

  • Title and Description
  • Due Date and Priority
  • Status: Todo → In Progress → Done

Creating a task:

  1. Go to the Tasks tab inside the project.
  2. Click + Add Task.
  3. Fill in the details and click Save.
  4. Mark as done by clicking the task checkbox.

Bulk view: Tasks across all projects appear on your main Dashboard in the overview panel.


Milestones Tab

Milestones mark critical checkpoints — a client sign-off, a major delivery, or a payment trigger.

  1. Go to the Milestones tab.
  2. Click + Add Milestone.
  3. Enter a title and target date.
  4. Mark as "Reached" once achieved.

Milestones are used in the Project Health Score and visible in the Reports section.


Time Tracking

SparkyMinis has two modes for logging time against a project.

Pomodoro Timer (Focus Mode)

  1. Go to the Time tab in the project.
  2. Click Start Pomodoro. The timer runs for 25 minutes.
  3. After completion, it logs automatically as a 25-minute block.
  4. Take a 5-minute break, then start the next session.
  5. Every 4 sessions triggers a long break (15 minutes).

Manual Time Entry

If you forget to run a timer or are logging time after the fact:

  1. Go to the Time tab.
  2. Click + Log Time (Manual).
  3. Enter:

- Date of the work

- Duration in hours and minutes

- Notes — what was worked on

  1. Click Save.

Your total logged hours appear in the Project summary card and in financial reports.


Editing a Project

  1. Open the project detail page.
  2. Click the Edit (pencil) icon in the header.
  3. Update any field — title, client, status, value, dates.
  4. Click Save.

Expenses Tab

Link business expenses directly to a project to track profitability.

  1. Go to the Expenses tab inside the project.
  2. Any expenses tagged to this project appear here automatically.
  3. To add a new expense from here: click + Add Expense. The project is pre-filled.
  4. The tab shows: total expenses vs project value, giving you a real-time margin view.
Formula: Project Value (Revenue) − Linked Expenses (Cost) = Gross Margin

Files Tab

Store all project-related documents inside the Files tab. These are backed by your Secure Vault.

Uploading files:

  1. Go to the Files tab.
  2. Click Upload or drag and drop files.
  3. Supported types: PDFs, images, Office docs, and more.
  4. Use the Camera option to scan physical documents (receipts, handwritten notes).

Deleting files:

  1. Hover over a file card.
  2. Click the Delete (trash) icon.
  3. Confirm the permanent deletion.

Deleting a Project

  1. Open the project detail page.
  2. Scroll to the bottom or use the header menu and click Delete Project.
  3. Confirm. This is permanent.
Note: Deleting a project does NOT delete linked expenses or invoices. Those remain in your financial records.
