How SparkyMinis Protects Your Privacy When Using AI Features

SparkyMinis includes an opt-in AI assistant that surfaces contextual suggestions as you work — helping you catch patterns, identify anomalies, and question decisions you might otherwise overlook. This guide explains what the AI does, what data it uses, and how to control it.
What AI Suggestions Does
The AI assistant appears in context-relevant panels across the app:
| Location | What it suggests |
|---|---|
| Business Expenses | Flagging unusual amounts; categorisation suggestions; detecting duplicate entries. |
| Business Projects | Identifying tasks past due date; suggesting milestone risk based on progress. |
| Business Invoices | Warning if an invoice is overdue beyond your payment terms; suggesting follow-up. |
| Reports & Taxes | Highlighting month-over-month anomalies in spending or income. |
| Net Worth | Observations about asset/liability ratios; SIP projection commentary. |
| Travel Trips | Budget overrun warnings; checklist completion reminders before departure. |
Suggestions appear as a collapsible "AI Insights" panel (marked with a ✨ icon). They never block your workflow — you can dismiss them or collapse the panel entirely.
What Data the AI Uses
The AI works only with your own data within your workspace:
- Invoice amounts, dates, and statuses.
- Expense records, categories, and amounts.
- Project statuses, task completion rates, and milestone dates.
- Net worth assets and liabilities.
- Trip budget and expense data.
The AI does not use:
- Data from other SparkyMinis users (no cross-user learning).
- Your Vault files or document content.
- Your contacts' personal information for model training.
How It Works — Privacy by Design
The AI features operate using a local-first model approach where possible:
- Lightweight analysis and pattern detection runs in your browser using pre-trained logic.
- No raw financial data is transmitted to external AI servers by default.
- If cloud AI features are enabled (for more complex analysis), only anonymised, numerical patterns are sent — never personal details, names, or identifiers.
You control this behaviour in Settings > Security & Privacy.
Enabling or Disabling AI Features
- Go to Settings > Security & Privacy.
- Find the AI Suggestions section.
- Toggle options:
- Enable AI Suggestions (master on/off switch).
- Business Suite AI — Suggestions in invoices, expenses, and projects.
- Lifestyle Suite AI — Suggestions in travel and net worth.
- Allow Cloud AI Processing — Enables more advanced suggestions via secure, anonymised cloud processing.
- Click Save to apply.
Changes take effect immediately. Disabling AI clears any queued suggestions.
Using AI Suggestions
When the panel is visible:
- Read the suggestion card(s) in the AI Insights panel.
- Each card has an action or explanation (e.g., "This expense is 3x your average for this category. Intended?").
- Options per card:
- Acknowledge — Dismiss the suggestion as intentional.
- Fix It — Take action directly (e.g., re-categorise the expense).
- Snooze 7 days — Suppress this type of suggestion temporarily.
What AI Does NOT Do
To be completely clear:
- AI does not auto-generate or auto-edit invoices, expenses, or any records.
- AI does not share your financial patterns with third parties.
- AI is not trained on your data — suggestions are derived from your own patterns, not from a model continually learning from you.
- AI does not have access to files in your Secure Vault.
Model Information
SparkyMinis uses a combination of rule-based analysis and lightweight generative AI (Google Gemini) for the more nuanced suggestion types. When Gemini is used:
- Only aggregated, numerical context is sent (no names, addresses, or identifiers).
- The request is not stored by Google for model training under the API usage terms.
- You can opt out entirely by disabling Allow Cloud AI Processing in Settings.
