How to Configure Business Profile, Invoices, and Tax Settings

Settings – Business, Invoices, Expenses & Tax

Navigate to: Dashboard > Settings > Account (/dashboard/settings/account)

Your settings define the defaults that power every invoice you send, every expense you log, and every report you generate. Getting these right upfront saves you from correcting details on hundreds of individual records.

Business Profile

Navigate to: Settings > Account (/dashboard/settings/account)

This is the data SparkyMinis uses to represent your business on all printed documents (invoices, proposals, reports).

FieldWhere it appears
Business NameInvoice header, PDFs, tax reports
Business LogoInvoice header (upload PNG or JPG, recommended 200×200px)
AddressInvoice footer, "Bill From" section
Phone & EmailInvoice footer
WebsiteInvoice footer
GST / VAT / Tax IDAll invoices and official documents
Home CurrencyDefault for all financial calculations
Financial Year StartDetermines YTD and annual report boundaries

Fill in all fields accurately — especially GST number and address — as these are legally required on most tax invoices.

Invoice Settings

Navigate to: Settings > Account (Invoices section) (/dashboard/settings/account)

These are the defaults for every new invoice you create. You can override each one on individual invoices.

SettingWhat it does
Invoice Prefixe.g., INV- — appears before the invoice number
Starting NumberThe first invoice number. Useful if you're migrating from another tool.
Default Due Datee.g., Net 30 — sets the due date automatically based on invoice date
Default Tax Ratee.g., 18% GST — applies to all invoices by default
Payment InstructionsBank name, account number, IFSC, UPI ID — appears on every PDF
Notes / TermsStandard payment terms text — pre-fills the Notes section
Invoice FooterAny additional legal or company text on the PDF

Expense Categories

Navigate to: Settings > Account (Expenses section) (/dashboard/settings/account)

Expense categories define how you classify your spending. These appear in the Category dropdown when logging expenses and in the expense breakdown in Reports.

Default categories provided:

  • Office Supplies
  • Travel & Transport
  • Software Subscriptions
  • Meals & Entertainment
  • Professional Services
  • Equipment
  • Marketing & Advertising
  • Utilities
  • Rent & Premises
  • Miscellaneous

Adding a custom category:

  1. In the Expenses settings panel, click + Add Category.
  2. Enter the category name (e.g., "R&D", "Training", "Client Gifts").
  3. Optionally assign a colour for visual distinction in reports.
  4. Click Save.

Editing or deleting a category:

  • Click on any category and edit the name or colour.
  • Deleting a category does not delete expenses assigned to it — they move to "Uncategorised".
